Overview
What's Included
To maintain strict legal boundaries and operational clarity, the following elements fall entirely outside our planner scope unless explicitly modified via contract revisions:
- Legal & Civil Paperwork: Filing official marriage certificates, coordinating church registry logbooks, or consulting external astrologers for auspicious dates.
- Financial Guarantees: Serving as a legal cosignatory or financial guarantor on any venue, catering, or third-party vendor contract.
- Private Shopping Blocks: Attending private alteration trials, independent jewelry shopping tours, or styling trips for extended family members.
- Creative Performance Curation: Managing direct dance choreography sessions or directing specific artistic photography framing styles.
- Direct Guest Logistics: Conducting outbound manual RSVP phone tracking operations or arranging individual transport grids for guests.
- Manual Labor Tasks: Supplying direct personal property security, performing manual bartending shifts, or executing physical DIY construction work.
Payment: The final settlement should be made 14 days prior to the event date. The advance payment is 40% of the investment and is non-refundable.
Event Location & Capacity
- Base packages apply to Colombo and Negombo areas
- Additional charges apply for outstation events
- Events exceeding 500 guests may require additional coordination resources
Additional Requirements
- Outdoor events and complex layouts may require additional charges
- Extra site visits or extended working hours are charged separately
- Dual ceremonies and special arrangements may include additional fees
Coordination & Communication
- Dedicated team of 2–3 coordinators manages each event
- Standard event-day coordination covers approximately 10 hours
- Official communication is maintained through a dedicated client-planner WhatsApp group
Client Responsibilities
- Client remains responsible for agreements with external suppliers
- Package upgrades are available after confirmation
- Event staff meals or agreed allowances should be provided by the host

Morning Logistics & Preparation
- Monitor arrival schedules of the couple, family members, makeup artists, designers, and suppliers
- Receive and manage flowers, personal items, guest favours, and special arrangements
- Coordinate ushers and ensure timely preparation according to the event schedule

Venue & Ceremony Setup Management
- Supervise décor, floral arrangements, lighting, seating, and venue setup
- Ensure all elements match approved design concepts
- Coordinate ceremony arrangements, cultural traditions, officiants, and entertainment teams
- Manage processions, family activities, and ceremony flow

Phase C
Reception & Celebration Management
- Coordinate grand entrances, entertainment, speeches, and special performances
- Manage audio-visual requirements and multimedia presentations
- Control programme timing including:
- Traditional oil lamp lighting
- Cake cutting
- Speeches
- Dancing & entertainment
- Food and beverage service

Post-Event Wrap-Up
- Secure and hand over gifts, personal belongings, and event materials
- Coordinate supplier settlements and venue requirements
